Job Description and Duties

Under the direction of the SSM I, the Office Technician (T) will provide clerical support to Headquarters staff – Bureau Director, Assistant Bureau Directors, SSM I, and other Headquarters staff. The Office Technician (T) coordinates and schedules virtual and in-person meetings for Executive management. Controls scheduling of the Bureau telephone conference line. Prepares weekly itinerary for Bureau Director, as requested. Provides telephone coverage for BFS Headquarters, answers and routes incoming calls and messages. Responsible for screening and routing inquiries from laboratories, the public and other agencies. Exercises independent judgment in handling and directing mail and document inquiries. This requires familiarity and knowledge of the Bureau’s organizational structure, operations and staff assignments. Independently develops and types confidential memorandums, letters, various correspondence and documents to support BFS operations. This position independently prepares purchase request forms (PRFs) and tracks purchasing documents for BFS Headquarters cost codes in the Procurement Access Database, assists with invoice payment and tracking by entering data in Access Database, using procurement documents and Accounting Information System reports. This involves entering invoice data into computer; determining and ensuring cost codes and expenditures are properly assigned; and properly preparing the invoices and supporting documents for processing by the Division of Operations (OPS) Accounting Unit. BFS Headquarters reviews and tracks all invoices from the field laboratories in our database. This position also acts as the Attendance Coordinator for the unit, which encompasses following Personnel rules and regulations and accurately maintaining attendance for Headquarters staff. It also includes preparing and submitting the monthly attendance documents, maintaining accurate employee leave balances and reconciling balances with Office of Human Resources (OHR) reports.
